Macomb Quad Cities Online APPLY NOW Office of the Registrar Section Menu WIU Home Registrar Diplomas and Duplicate Diplomas Diploma information: size, covers and frames Western Illinois University graduates will receive one complimentary 8.5" x 11" diploma printed landscape format and will feature the signatures of current WIU administration and the embossed WIU seal. Diplomas are currently printed with degree name and major. Minors are not printed on diplomas; however, minors are printed on transcripts. If you have two majors, you will receive just one diploma. The diploma will show your degree name as dictated by your first major and both major names, i.e.: Bachelor of Science Law Enforcement and Justice Administration Political Science Diploma covers are not delivered with the diploma. Diploma covers are presented to graduates who physically attend Commencement ceremonies. Diploma frames may be purchased through the University Bookstore or the Alumni Association. Diploma Delivery When will I receive my diploma? Students completing graduation requirements will be issued a diploma approximately six weeks after the Commencement ceremony/graduation date. Estimated mailing date for Spring graduates is mid-June. Estimated mailing date for Summer graduates is mid-August. Estimated mailing date for Fall graduates is mid-January. Receiving My Diploma You will receive your diploma by mail at the address you provided on your graduation application. If you are unsure where you will be residing at delivery time, you may consider having your diploma sent to a parent address. Your diploma mailing address may be viewed on your STARS address screen under GRADUATION ADDRESS. If you need to change your diploma address and it is before your degree is conferred, please email your new diploma address to graduation@wiu.edu or submit a comment from your STARS account and specify a DIPLOMA address update. Diplomas are sent first-class mail via the United States Postal Service (USPS). If it has been more than 6 weeks since your diploma should have arrived according to the diploma delivery schedule, email your name, student identification number, mailing address and telephone number to graduation@wiu.edu or call the Office of the Registrar at (309)298-1891. If your diploma has been sent to an incorrect address, it may be returned by the USPS to our office. If it is returned, we will be happy to send it to your new address if you contact us; otherwise we will hold it in our office. Please note that diplomas will not be available to students who have encumbrances with the University. All outstanding monetary obligations to the University and most other encumbrances must be cleared before the diploma will be issued. If you have a financial encumbrance with the University, please contact Billing and Receivables at (309)298-1831 or billings@wiu.edu for details. Once you have cleared any encumbrances with the University, please notify the Office of the Registrar to arrange to have your diploma mailed. There are several possible reasons you may not receive your diploma: You may have had a hold, such as an overdue balance. Your diploma address may be incorrect. You may have walked in the commencement ceremony but have yet to complete one or more degree requirements. Contact your advisor or the Office of the Registrar for details. Duplicate Diplomas Duplicate diplomas are printed with the signatures of current administration officials in landscape format on 8.5" x 11" stock paper. All requests for duplicate/replacement diplomas are subject to approval from the Office of the Registrar. Diplomas will only be issued to the student who earned the degree. Please allow 4 weeks for processing and mailing/delivery of duplicate diplomas. If you would like a PDF copy of your diploma to be sent to you before your actual duplicate diploma is mailed, please specify that in the comment section of your electronic request or add a note to your written request and provide an email address where it should be sent There are two ways to request a duplicate diploma: Order a duplicate diploma online ($27 credit card payment required) , or Send a written request and include the following ($25 check or money order required): Your name typed or printed EXACTLY as you want it to appear on your diploma Documentation of legal name change, if applicable (2 forms of ID required) Your student identification number or social security number Your signature Your birth date (including year) The degree you earned The approximate date or term your degree was granted A complete address of where your diploma should be mailed Phone number or email address where you can be reached in case of any questions A check or money order for $25 made payable to WIU Please note that duplicate diplomas will not be available to students who have encumbrances with the University.
