Phase 2 Draft Records Retention Schedule and Crosswalk
The Nevada State Library, Archives and Public Records (NSLAPR)-State Records Program (SRP) released the Phase 2 draft of the updated Local Government Records Retention Schedule on October 1, 2025, along with its accompanying crosswalk, and was open for Local Governmental Entities (LGEs) review and feedback through December 1, 2025. This project aims to improve records management efficiency and clarity for LGEs across Nevada.
Phase 2 Highlights
The Phase 2 Draft Schedule and Crosswalk introduced several key updates:
A restructured framework built on 7 functional categories and 46 standardized subcategories
New records series identifiers using category and subcategory prefixes
(e.g., FIN-ACC-01)
Simplified disposition methods:
Permanent or Destroy Securely
Removal of legal citations
to reduce confusion and improve clarity
A crosswalk tool to map current LRDA-based series to their new function-based equivalents
Concise, broadly applicable records series descriptions to accommodate Nevada's diverse local government structures
The Crosswalk
An informational document explaining how to interpret and apply the crosswalk was made available. It provided guidance on:
Understanding the new function-based identifiers and categories
Locating legacy LRDA series and their updated equivalents
Applying the crosswalk to update agency-specific retention practices
Reviewing the document before submitting feedback to ensure your comments consider the new structure and terminology
NSLAPR is committed to supporting Nevada’s local governments by providing practical tools and resources for more effective records management.
Revision Logs
Revision logs for the draft schedule and crosswalk were implemented and updated during Phase 2 to convey tentative modifications based on stakeholder feedback and internal review.
Project Timeline
Phase 1 – Initial analysis determined that fully consolidating the existing schedule was not feasible due to the wide variation in local government structures and recordkeeping practices. The project pivoted to a function-based approach, replacing legacy series with a streamlined “big bucket” schedule aligned by core function rather than department.
Phase 2 – Draft schedule and crosswalk available now for review and comment until December 1, 2025.
Phase 3 – The updated schedule will be implemented and reviewed on a two-year cycle to stay current with legislative changes and best practices. LGEs will continue to be invited to provide feedback. Please be aware that the final NSLAPR Administrator approved and published schedule may be delayed due to additional high-level reviews.
