Belu may collect information in the following ways:
When you give us information directly
: You may provide your details to us when you request specific information from us through our website, email or social media, or by phone or post.
When you have given other organisations permission to share it
: You may have provided your details to another organisation that works with Belu. For example, to receive further details about our products or company. Information we get from these services depends on your settings or the response choices you give, so you should regularly check what you have agreed to with third party organisations.

How we keep your data safe and who has access to it
To protect your personal information, we take reasonable precautions and follow industry best practices to make sure it is not inappropriately lost, misused, accessed, disclosed, altered or destroyed.
We always ensure only authorised personnel have access to your information, and that they are appropriately trained to manage your data. All Belu staff with access to personal data receive GDPR training. We have internal accountability structures in place, including a designated Data Protection Lead, to oversee compliance and respond to data protection queries.
We may share your email address and name with Meta (formerly Facebook), LinkedIn and/or or Google – solely for the purpose of creating lookalike audiences to improve the relevance and effectiveness of our advertising campaigns.
We may share your email addresses with the marketing teams of businesses we work with for co-branded marketing campaigns. This sharing of information is only done with explicit user consent. This consent is obtained in compliance with GDPR requirements and is freely given, specific, informed, and unambiguous. You can withdraw your consent at any time by contacting press@belu.org
Despite taking precautions, no data transmission over the internet can be guaranteed to be 100% secure. So, while we strive to protect your personal information, we cannot guarantee the security of any information you disclose to us online, and you must understand that you do so at your own risk.
How we keep your information up to date
Where possible, we try to keep your records up to date; for example, by calling our customers at least once a year to check details are correct. However, we’d really appreciate it if you let us know if your contact details change.

How long we keep your information for
At Belu, we retain personal data only for as long as necessary to fulfil the purposes for which it was collected, or as required by law. The retention periods for different types of personal data are as follows:
Customer Data
: Retained for the duration of your account/contract and up to 7 years after termination to comply with legal obligations.
Marketing Data
: Retained until you withdraw your consent or opt out of marketing communications.
Supplier and Partner Data
: Retained for the duration of the contractual relationship and up to 7 years thereafter to meet legal requirements.
Website Usage Data
: Retained for up to 2 years from the date of collection, with data anonymised where possible.
Financial Data
: Retained for up to 7 years to comply with financial regulations.

Our legal basis for processing your information
Although in many cases we will seek consent to process your personal data, in some instances we may process your information without consent when we are legally allowed to do so. This will only be where it is in our legitimate interests to do so and where we believe such processing does not prejudice your rights or freedoms. Where we rely on legitimate interest as a legal basis, we aim to assess and document our reasoning through a Legitimate Interest Assessment (LIA), in line with UK GDPR requirements.
Where we are processing your personal data on the basis of consent that you have given us, you are entitled to withdraw that consent at any time such that we can no longer rely on it as a basis for continuing to process your personal information.

You retain control of how we use your data and you have the right to ask us to stop processing your personal information, which we will do. The Right to Erasure
Conditions:
The user withdraws consent, and there is no other legal ground for processing.
The data is no longer necessary for the purposes for which it was collected.
