How are exams proctored in the Testing Center?
Yes, you will receive an email for each student who requests accommodations for your course/section. The purpose of this email is to notify you of what accommodations the student receives so that you can plan accordingly.
You will need to fill out an Alternative Testing Agreement for each section of a course in which students have requested testing accommodations. There is the ability to copy the testing agreement for one section/course to another section/course which can be helpful if your courses are structured the same. Here is a guide on how to copy an
Alternative Testing Agreement
. Keep in mind that while the testing agreement is typically completed at the beginning of a new semester, you have the opportunity to update or make changes to the agreement at any time.
Yes, you should still complete the testing agreement. If you choose to proctor your exams, students still need to be provided with their accommodations. Keep in mind that some accommodations may only be able to be provided in the testing center (Kurzweil, Dragon, etc.). If the student would rather test with our office, they are allowed to do so.
If all the students in your course are taking the same exam, you can select multiple students for your course and only upload one exam. If you have multiple versions, you will have to upload those individually.
You will get an email each time a student schedules an exam. This is so you are aware that a student is scheduled to take the exam with Disability Support Services and so that you can verify the time and provide any necessary testing materials. We encourage students to schedule exams for the semester as soon as they know the dates and times.
You can upload the exam at any time prior to the exam being administered. We invite faculty to upload (or drop off) exams 24 hours in advance so that we can ensure it is prepared for the student. This also allows us time to prepare certain accommodations. If you have concerns about being able to provide the exam 24 hours in advance, you can reach out to the ARC coordinator (a.clonts@wingate.edu).
If you upload the wrong exam or make changes to an exam, you can delete the old exam and upload the new one. Additionally, you can upload more than one file as needed.
The only time you will need to upload a file for an online exam is if the student will be using Kurzweil (screen reader) or will be taking the exam on paper instead of online. If your exams will be online, please indicate so in the Alternative Testing Agreement. If the student will need to use Respondus lockdown browser, please include this in the notes section.
If you reschedule or cancel an exam, it is the student’s responsibility to reschedule or cancel the exam in the AccessWU Portal. However, if you do reschedule the exam, you may need to re-upload the exam file to the new scheduled time.
If you have a student who is taking a timed exam within Canvas or ExamSoft, they still will need to be provided with extended time for the exam. This is a feature that can be changed within either system. If you have any questions on how to extend the time for Canvas Exams, please contact Kateryna Decker in Information Technology at
k.decker@wingate.edu
or for ExamSoft, please contact Andrew Hutchison at
a.hutchison@wingate.edu
If at all possible, it is highly encouraged that you enter all upcoming exam dates at the beginning of the semester or as soon as possible. This ensures that students are scheduling exams on the correct dates and times, but it is not required.
All tests are video-monitored. There will also be a student proctor present in the testing center. We have the ARC Coordinator monitoring the cameras at all times to notify faculty if a student is suspected of violating the honor code.

Notifications are sent through the AccessWU portal. When you request accommodations for a class in the portal, a notification will be sent to your professors via email. This email only notifies professors of your approved accommodations. A guide on
how to notify your professors
If you plan to take your exam in the testing center, you will schedule it through the AccessWU portal at least 72 hours (not including holidays or weekends) in advance. A guide on
how to schedule your exams
It is highly encouraged that you schedule any quizzes, tests, or exams as soon as possible. If your professor provides a syllabus with those dates at the beginning of the semester, it is recommended that you go ahead and schedule those in advance. All exams must be scheduled at least 72 hours in advance (not including holidays or weekends). Otherwise, we may not be able to accommodate your request. If your request is denied for this reason, you must take the exam in class.
Yes, exams must be taken during class time. An alternative time must be pre-approved by your professor and the ARC coordinator only when your extra time cuts into another course.
If you will not be able to make it to your exam, please contact your professor as soon as possible to discuss rescheduling. Requests to reschedule or cancel exams can be made through the AccessWU portal. You should reach out to the ARC Coordinator (
a.clonts@wingate.edu
) to discuss any approved changes to your exam day/time.
Any* quizzes, tests, midterm exams, or final exams can be taken in the testing center. This includes timed writing assignments.
*OSCE’s and other practical exams cannot be proctored in the testing center. If you have questions or concerns, please contact the DSS office and/or your professor.
On the day of your exam, it is encouraged that you arrive at the testing center 5-10 minutes early to get checked in. Please check in at the front desk. You will be asked to put your belongings in a locker. This includes backpacks, purses, electronic devices (phones, earbuds, smartwatches, or Fitbits), and anything else unpermitted by your professor. You may bring a light snack and drink to take in the testing room with you. Once you enter the testing room, testing has begun. All testing is video-monitored and it is expected that you uphold the honor code just as you would in class.
Your professor will indicate to our office how the exam will be returned. You may be asked to deliver the exam to your professor in a sealed envelope.
