Faculty/staff:
Office 365 for Education is available to faculty, staff and student of City Tech. The Suite includes OneDrive for Business, SharePoint, Yammer and Teams. Widely used Microsoft applications such as Word, Excel and Powerpoint, including the downloadable Office ProPlus suite is also available. It also includes 1 TB of storage per user.

On the Additional security verification page, under How should we contact you? Select
Authentication phone.
Select the country/region code and enter your 10-digit mobile number.
Under Method, select Send me a code by text message, then click Next.
You will receive a 6-digit verification code, enter the code and click Verify, then click Done.
On the Update Your Password page, enter the current password, then enter and confirm your new
password.
After creating the password, you will be directed to Microsoft Office 365 account.
Click on Outlook icon
on the left hand side to
view your City Tech email.
On the login page, click on "Can't access your account?".
Select Work or school account (if prompted).
Enter your student email username and the special characters displayed, then click Next.
Select the reset method of choice: email, phone (call or text) or security questions.
Enter the security code sent to you, then enter and confirm a new password, then click Finish.
Go to
and log into your MS O365 student email account.
Click on the Setting icon (
) located on the upper right hand side of the page.
Under Password, click on Change your password.
Type in the current password you have for your account within the Old password box.
Type in your new password within the Create new password box.
Once again, type in your new password within the Confirm new password box, then click Submit.
No, you will lose access to One Drive and Microsoft 365 applications once you graduate with your Associate’s or Bachelor’s degree. Please backup all your documents and other files before your graduation date.

Security info is an alternate contact email address or phone number that you add to your account. If you forget your password, or if someone else is trying to take over your account, we send a verification code to that alternate email or phone number. When you give the code back to us, we know that you’re really you so we can help get you back into your Microsoft account.

Click on + Add sign-in method and select the method of choice. These methods will help you to sign into your account or reset your password.
CityTech Shared Email Account (generic) allows multiple users to read and send email messages. Shared mailboxes can also be used to provide a common calendar, allowing multiple users to schedule and view appointments.

Students receive a free Dropbox account with 15 GB of storage, while CUNY faculty members get 1 TB

Dropbox does not perform traditional backups of data stored in Dropbox. You may choose to synchronize your Dropbox files so they are available on another device as long as you are careful not to exceed your storage capacity limits in Dropbox or on your device.
You will have the option to convert your University Dropbox account to a personal Dropbox account within 60 days to avoid losing access to the content before it is deleted.

Dropbox uses email addresses to identify users and therefore the people with whom you want to collaborate or share files. Although CUNY Login is NOT an email address, CUNY has been able to associate each CUNY Login username with the user’s email address for Dropbox use. This association provides the ability to open a list of University Dropbox users to choose from (by CUNY Login, first or last name) and to send a notification email to those University Dropbox users.
For notifications from other University Dropbox users, you will likely receive the notification via the email address as recorded in CUNYfirst: preferred email account for students and business email account for faculty and staff. For notifications from external users, it will be the email address you provided them.
The primary difference is the manner in which you access them. You use your personal email address to access your personal Dropbox account and your CUNY Login credentials to access the CUNY Dropbox account.

Generally, you save the installation program on your computer and then run the program from the download location. If you are prompted to enter administrator credentials in order to install Dropbox, click No to close the window, then click Yes in response to the “Dropbox can be installed without administrator privileges. Continue?” prompt.
Click on the Dropbox client on your computer and choose the
Preferences
menu option. Go to the “General” tab and enable the
Show Dropbox as a save location in Microsoft Office
checkbox.
You may need to exit and reopen all your Microsoft Office desktop applications before Dropbox is listed as a file open/save option.
The Dropbox badge appears at the edge of applications to provide easy access to Dropbox features.
You can switch the badge off and on using the Dropbox client’s preferences settings.
When setting up Dropbox on your computer or mobile device), you have the option to let the administrator manage synchronization settings (the default is keeping files “Online-only”) or choosing to maintain “Local” copies.
Online-only ensures you have access to files without worrying whether your files will exceed the storage capacity of your computer or mobile device, but you must be connected to the Internet to access them. Local lets you selectively synchronize individual folders and files so that you always have the latest version on your computer or mobile device.

Installing the Dropbox client on a shared or lab computer is NOT RECOMMENDED due to the risk of other users gaining access to your files.
Dropbox will warn you as you approach your file space allocation limit. You can check to see how much space is still available to you by opening your CUNY Dropbox account in a web browser, clicking on your profile icon, clicking
Settings
and then clicking the
Plan
tab. Both your CUNY Dropbox account and CUNY organizational file space allocations and usage are listed.

The City University of New York has secured Zoom for Education licensing to allow faculty, staff, and currrently registered students to host online Zoom meetings by telephone, mobile device or computer.
Best Practices for Securing your Zoom Virtual Classrooms
Password-protect the classroom
: Create a password and share with your students via school email so only those intended to join can access a virtual classroom.
Enable the Waiting Room feature
: The Waiting Room feature is one of the best ways to protect your Zoom virtual classroom and keep out those who aren’t supposed to be there.
Use a random meeting ID
: It’s best practice to generate a random meeting ID for your class, so it can’t be shared multiple times. Don’t use your Personal Meeting ID for the meeting.
Require registration
: This shows you every email address of everyone who signed up to join your class and can help you evaluate who’s attending.
Allow only authenticated users to join
: Checking this box means only members of your school who are signed into their Zoom account can access this particular class.
Disable join before host
: Students cannot join class before the teacher joins and will see a pop-up that says, “The meeting is waiting for the host to join.“
Manage annotation
: Teachers should disable participant annotation in the screen sharing controls to prevent students from annotating on a shared screen and disrupting class.

Microsoft Teams is an application which is part of the CUNY MS O365 suite. Teams is a communication platform that enables collaboration by integrating communication tools such as chatting, calls, meetings and document sharing. The MS Teams application can be accessed through the CUNY O365 suite using your CUNYfirst login and password. The application can be downloaded onto desktops, laptops and mobile devices.
All CUNY faculty, staff and students are part of the MS Teams environment enabling collaboration across the University. To collaborate with anyone within the CUNY organization, you can search the directory for the individual(s) CUNY username (e.g. George.Washing01). To collaborate with individuals outside of CUNY, you will have to invite the individual(s) via their email.
Students
Students do not have the ability to create Teams within the MS Teams environment. Students can be brought into a collaborative.
Faculty/Staff
Use Teams to create channels or groups of individuals where you can collaborate on particular topics, projects, etc. Hold on-the-spot meetings, have conversations and share files.
Schedule meetings and sync with your Outlook calendar.
Using the App
Download the MS Teams App on your laptop or device.
When you launch the App, select Get Started
In the Microsoft Login window, type your entire CUNYfirst login ID,
