Dynamic Forms
What is Dynamic Forms?
Dynamic Forms provides a simple way for non-technical users to take any paper-based form and quickly build a sophisticated, interactive electronic form that can be published to your SIS portal or outside website. This secure, state of the art e-sign/workflow solution allows you to focus your energies on your students and not on manually moving documents.
What does this mean for Texas State University?
Most of the forms that are utilized by Academic Affairs have transitioned to a paperless format. Dynamic Forms is one of the software programs used to help in this transition. Forms can be initiated and signed at any time, and once the forms are complete, can be easily accessible via your Dynamic Forms Inbox. This also allows users to view the status of pending forms and how long it has been in a participant's queue.

Why does the email notification from "FacultyResources@txstate.edu" show up as "originated from outside the TXST Network?" Is it safe?
The email is safe and legitimate. All of our notifications are sent out through the Dynamic Forms system, which is a software that is not affiliated with Texas State University.

If the link on the email notification does not work, please use the direct link that is found here:
Dynamic Forms Login
Please do
NOT
create an account! This has the potential to disrupt any Dynamic Forms services for any forms moving forward.
Do I need to create a Dynamic Forms account?
No. Please refrain from creating a Dynamic Forms account unless you plan on creating forms for your area.
What if I want to make adjustments to a form I already submitted?
Please reach out to Jesus De Leon at
xin10@txstate.edu
and your form will be returned to you for corrections. Please be sure to do this in a timely manner; if the form is approved by any participant after you, the form will need to recollect any signatures that were previously on the form.
How do I know if a form is being routed properly?
You may check the status of your form by logging on to your Dynamic Forms account. From there, you will see the list of forms that you have submitted. On the right hand side, click on “Actions,” then “edit co-signers.” You will now be able to see where your form is currently at in the approval flow. If the next individual does not look correct to you, please reach out to
Jesus De Leon
to get that corrected.
How long does it typically take for a form to be completed?
The forms usually take 4-5 business days to process.
What is the routing method for the form? Who are the participants?
The form is routed automatically once you complete the form and have your Dean/Vice-Provost selected. Other workflow participants are pre-populated according to the type of request and required approvals. Once signatures are collected from these individuals, your form is complete.
How do I access my completed form?
You may access your forms by logging in to your Dynamic Forms Inbox using your Texas State credentials. Once you are signed in, depending on the status of your form, you will need to do one of two things:
If your form is still in review:
Once you log in, you will see your form on the home screen. From here, you can click on “actions” and see where your form is in the queue.
If your form is completed:
Once you log in, click on “my forms” at the top right hand side of your screen, then click on “Forms History.” Here you will see all of the forms that you have submitted, which can be reviewed either as a PDF or in a separate window via HTML.

Waiver of Recruitment Process for Faculty
Waiver of Recruitment Process for Faculty
Only faculty appointments at Lecturer ranks (e.g., Lecturer, Clinical Lecturer) are eligible for hire via waiver. All other ranks require a full recruitment process unless the candidate is on the Phased Retirement Plan, in which case faculty of any rank may be hired via waiver. This waiver process does
not
exempt the hiring action from budget reviews.
Before proceeding with the waiver request, the department must verify the candidate's eligibility by confirming the following:
Prior affiliation with the institution, with a separation date within the last 3 years.
Position at the Lecturer or Clinical Lecturer rank (waiver-eligible).
Qualifications meeting departmental standards for the position.
Participation in the Phased Retirement Plan, if applicable (allows for a waiver regardless of rank).
Note:
Candidates must meet criteria 1–3 to qualify for a waiver, unless they are participating in the Phased Retirement Plan, in which case a waiver may be granted at any rank.
