Mail Services
Mail Services oversees the receipt and processing of incoming and outgoing United State Postal Service (USPS) mail and packages on behalf of departments on all six Georgia State campuses operating from central hubs located on the Atlanta and Clarkston campuses. Mail Services also is responsible for the prompt movement of internal interoffice mail among employees on all six campuses.

All faculty and staff are required to use
mailing statements
with all outgoing mail through USPS. You can either
download this mailing statement
, print out and include with your mail or order pre-printed statements. To order mailing statements, please call Mail Services at

There is no cost to departments for the mailing statements; they are provided free of charge.

The following are the steps involved in completing the mailing statement:
DEPARTMENT NAME/PROJECT SPEED CODE
Write in your department’s speed code – it can be any number of digits up to 13.
DEPARTMENT NAME/PROJECT NAME
Write department name and/or project name.
PROJECT EXPIRATION DATE
If this speed code is for a project, please add the project expiration date.
PREPARER’S NAME
Write the name of the person who prepared the mailing just in case we need to contact you.
TELEPHONE EXTENSION
Write your phone number just in case we need to contact you.
MAIL CLASSIFICATIONS
Please check off the type of service for item(s) you are mailing.
CONTENTS
Please indicate the type of item you are mailing.
NAME OF MAILING
Please name your mailing so Mail Services has a reference if you should have questions after we pick up your mail to be processed.
DATE SENT TO GEORGIA STATE MAIL SERVICES
Please write the date you provided the mail to the Mail Services Clerk.
NUMBER OF PIECES
Please indicate the number of pieces in this mailing.

Important Information:
Mailing statements are only required for mail that will need USPS postage added by Mail. Interoffice mailings
DO NOT
need a mailing statement.
All outgoing USPS mail processed by Mail Services will be charged to the speed code on the mailing.
Retain the bottom (pink) copy of the three-part form to keep for your departmental records as proof of mailing.
Missing or incomplete statements will result in delayed processing. Ask your mail clerk for more information and to obtain additional statements.
Do not mix mail to US recipients with International recipients in one bundle with a mailing statement. Separate the US mail from the International mail and provide one mailing statement for each bundle.

To send certified mail, you’ll need a
Certified Mail form
, and a
Return receipt
. Please call Mail Services for these certified mail supplies.
For proper mailing, place labels as follows:
Peel the thin white strip from the top of the Certified mail form and place it in box 2 on the Return Receipt.
For small envelopes, peel and place the Certified Mail Form at the top center of the envelope.
Make sure to leave a 3.5 inch space at the top right corner for postage to be placed.
Fill out the Certified Mail form with the delivery address.
(It’s very important to write in your school or department name inside the box titled “Official Use” using no initials.)
Next, address the front side of the return receipt with the recipient’s name and address in box 1.
In Box 3, only check

Next, address the backside of the return receipt with the return address. (This will be mailed to the return address as a receipt after your certified mail has been delivered and signed by the recipient.)
Now, peel and place the return receipt on the backside of the envelope. And that’s it!
For proper placement on large envelopes or packages, fill out the forms and the place the labels exactly the same way with one change in placement of the Return Receipt:
Place the certified mail form at the top center with the Return Receipt directly below it.
Don’t have your certified mail sent back to you for incorrect label placement.
When your certified mail is sent to the post office, the Certified Mail Receipt will be detached and stamped with the date it was received and processed. This receipt is filed at Print & Mail Services and stored for 8 years.The Return Receipt will be detached and mailed to the sender once the certified mail is delivered and signed by the recipient.

Interoffice stamps purchased online are delivered on campus or picked up at Mail Services Centennial Hall location (Suite 0010). Stamps will not be mailed to personal mailing addresses.

The basic format is as follows. The order of the address lines is very important, as is the inclusion of the department name in all address uses.
It is essential that these standards be set, as any change could affect the readability of the mail by the USPS machinery.

For Atlanta campus addresses, express delivery companies cannot deliver mail to P.O. Box numbers. Be sure to provide your physical street address (30 Courtland Street, 35 Broad Street, etc. and the 30303 zip code for Atlanta).
All Atlanta campus business cards printed will include your “Mailing Address” as well as your “In Person” physical address. Mail Services encourages each department to include its “Mailing Address” and its “In Person” physical street address on all publications as well as websites.
For express deliveries to all other campuses, please use the full address as shown above.  It is important to include the
building code
(i.e. CS Building, SA Building, etc.) and the
suite number
.  Express delivery companies will not deliver a package without the building code and suite number.

Mail Services’ sister-operation – PawPrints (pawprints.gsu.edu) – Clarkston location offers books and rolls of stamps for purchase.  Both operations accept speed codes for departmental purchases and both are open to the public to support the local campus and residential/business communities.
